When your training involves live instruction (like a webinar, virtual classroom, or in-person session), you will create a synchronous training. This overlaps with creating a product, but here we focus on scheduling specifics:
Create or Edit a Training Product: Follow the steps in the previous section to create a new training product for your live session, or edit an existing one meant to host live sessions.
Navigate to Sessions/Schedule: In the training setup, locate the section/tab for Sessions or Schedule. This is where you add occurrences of the live training (dates and times).
Add a Session/Event: Click Add Session (or similar). Enter the details for the live session:
Title of Session: (Optional if same as course, or if multiple sessions, e.g., “Session 1”).
Date and Time: Set the start date, start time, and expected duration or end time for the session.
Time Zone: Ensure the time zone is correct, especially if you have participants in different regions.
Location/Platform: If it’s an online session, you might provide a webinar link or select an integrated platform. For example, if illuxiLMS integrates with Zoom, you might choose a Zoom meeting here. If it’s in-person, enter the venue details or address.
Capacity: Optionally, set a maximum number of participants if the session has limited seats.
Enrollment Deadline: Optionally, set a cutoff date/time for registration (e.g., no sign-ups after the session starts or 1 hour before).
Save Session: Add the session to the course. If the training is a one-time event, you may have just one session. If it’s a course with multiple live classes (e.g., every Tuesday for a month), you would repeat the above to add multiple session entries.
Communications: Ensure that notification emails are enabled so that registered users get reminders. illuxiLMS can send automated emails (for example, a registration confirmation and a reminder 1 day or 1 hour before the session). Configure these in the notifications or settings area of the training.
Publish the Training: If not already published, make the training active. Learners can now see the live session in the catalog and register for it.
During and After Session: At the time of the session, learners will join via the Join button as described earlier. As an admin or instructor, you may also join from the admin interface or using the host link provided by the integrated platform. After the session, you can mark attendance or completion if needed (depending on whether illuxiLMS tracks this automatically or if you need to input who attended).
By scheduling live sessions within illuxiLMS, you centralize the training management. Attendees register through the platform, receive the info and reminders, and after the session, the platform can keep a record of their attendance. Be sure to double-check all session info (especially the video conference link and time zone) to avoid confusion for participants.
